General questions about using Fund Manager that do not fit into any other forum.
by aviator » Sat May 01, 2010 10:47 am
Is there a way Fund Manager to display screen totals at the portfolio and sub-portfolio levels? I'd like to see totals for Value, Basis and Gains (and, I suppose, for any other columns where this information would make sense).
I realize I can get this by running a report, but I'd like to see it displayed on the screen.
Thanks.

Hi aviator,
Are you referring to totals in the Portfolio Editor window? This window does not show totals of the items listed in the list view on the right, but if you select the next higher sub-portfolio level on the left, then you will see a line item for the sub-portfolios in that level, which are the totals. For example:
- Code: Select all
- Master Portfolio - My Holdings - Acct 1 - Investment A - Investment B - Investment C
Given the above hierarchy, when you select "Acct 1" on the left, you see the amounts for each of the 3 investments, but not the totals for Acct 1. However, if you select "My Holdings" on the left, you will see a line item for Acct 1 on the right, that shows the totals for Acct 1.

Mark, thanks for your quick response. I'm new to Fund Manager, and it's quite possible my hierarchy isn't set up correctly.
Based on your example, my accounts are actually where your "My Holdings" are. And my investments are actually where your "Acct 1" is.
My hierarchy looks like this (please tell me if there's a better way to set this up):
- Broker Name (Master Portfolio in your hierarchy)
- Account 1
-Investment A
-Investment B
-Etc
- Account 2
- Account 3
What I'm looking for is a grand total for all my accounts at the Broker Name level for certain fields (Value, Cost Basis, etc). And if I drill down to the account level, I'd like to see totals for all investments in that account.
Thanks for you r help.

Hi, Mark. I too would like to vote for totals at bottom of the portfolio editor window. I know I can collapse the sub portfolio to see the totals, which is also useful with nested sub portfolios, but to me it seems natural to see them summed at the bottom. I can create a report, but I spend most of my time looking at portfolio editor, so column totals would be useful there.
Thanks.

Hi aviator and tommcg,
aviator: Your hierarchy is fine, but you cannot then see a total for "Broker Name" within the Portfolio Editor window since you don't have a higher level sub-portfolio. You can get this data from a report though. If you'd like, you can create yourself another layer of hierarchy, so you can see the "Broker Name" totals in the Portfolio Editor. There is always only 1 topmost level sub-portfolio, but you can have as many layers beneath that as you want, so you could change it to:
- Code: Select all
- Master Portfolio - Broker Name New - Acct 1 etc...
To do this, right mouse click on your current top level, and do a "New Sub-Portfolio...", and give it a name, like maybe "Broker Name New". Use drag/drop to move everything in your top level (except Broker Name New) into this new "Broker Name New". You drag from the right list, to the left sub-portfolio. Now, rename your topmost sub-portfolio from "Broker Name" to "Master Portfolio", or whatever else you want. The basic idea is you can have as much hierarchy as you want.
tommcg: Thanks for the feedback. I can see that being helpful. Maybe we could add a new 1 line tall list view at the bottom of the regular list view, and show the totals in there.

Mark, thanks for the suggestion.
I did as you suggested and the results are exactly what I'm looking for, with one exception: It appears that the totals in the Portfolio Editor include hidden securities. As I'm new to this software, it's possible that I'm wrong. But if hidden securities are indeed included in the totals, it is possible for the suggestion that tommcg made (to display totals at the bottom of the regular list view) to EXclude hidden securities? Or at least give users the option of including or excluding hidden securities?
My work-around for the hidden securities was to just close them. I'm not sure what affect, if any, that will have later down the road but it's the only way I could check my account balances against my broker.
I've spent most of this weekend importing and tidying up data. If you don't mind, I'll make suggestions from a newbie's perspective that may help others in the future. (One that comes to mind already is that it would be nice to be able to select a bunch of securities at one time and then apply a change to ALL of them. For example, most of my securities are grouped by an account manager, who manages an asset type. It would be nice to select all securities in an account and apply Asset Type and Investment Goals to all, much like how a password is applied to "all open investments", instead of doing one at a time.
So far, I'm impressed with the software. Thanks for your help with my issues.

Hi aviator,
Thanks for the feedback, that does help.
Any values of 'hidden' investments are always still included in the overall totals for the sub-portfolio that contains those items. Usually you only hide things once you've sold them, and they don't have a current balance. In that case, they wouldn't affect the values shown in the Portfolio Editor, as those values are always for the current date. If hidden items were affecting your portfolio totals, then those items didn't have a zero balance as of today. Maybe they needed to have their transactions corrected, or maybe they shouldn't have been hidden?
It is usually best to hide, instead of close. If you close, they aren't part of your portfolio anymore. You might find this FAQ item helpful:
